Before you apply // 4–8 MONTHS OUT

// READ THIS FIRST — THE TOURIST-VISA TRAPEntering Germany visa-free or on a Schengen tourist visa and "converting to a student permit later" is not possible for most nationalities — you would have to leave and reapply from home, losing months. Only citizens of a small privileged list (Australia, Canada, Israel, Japan, New Zealand, South Korea, UK, USA — §41 AufenthV) may enter without a visa and apply for the permit inside Germany. Everyone else: get the correct national visa before flying. No exceptions.
Check if you need an APS certificate

Mandatory for India, China, Vietnam, Pakistan, Bangladesh — BEFORE the visa appointment can be booked. Takes 3–8+ weeks depending on country. Name must match your passport exactly.

Note every deadline for every program

Winter-semester window usually closes ~July 15 — but arts universities (UdK) close as early as Feb–Apr, and private universities roll year-round. Check each program page.

Book your language test early

IELTS/TOEFL (English programs) or TestDaF/DSH (German). Slots fill 1–2 months ahead; results take weeks.

Apply — usually via uni-assist

€75 first application + €30 each additional per semester. Certified copies + sworn translations where required. Submit well before the deadline: processing takes up to 4–6 weeks in peak. uni-assist.de

Your visa file // AFTER ADMISSION

// INSIDER RULE #1Book the visa appointment THE DAY you get admission (or before, where allowed). In peak season the queue for a slot is 4–16 weeks — the appointment wait, not the decision, is what costs students their semester.
Open the blocked account (Sperrkonto)

€11,904 for 12 months with a recognized provider (Expatrio, Fintiba, Coracle). Transfer immediately — international transfers take 3–5 days, and a late confirmation means a missed appointment. Official info

Arrange health insurance

Incoming/travel cover for the visa + statutory student insurance (GKV, ~€141–160/month under 30) from enrolment. Many blocked-account providers bundle both.

Fill the VIDEX form + assemble the file

Passport · admission letter · blocked-account confirmation · insurance proof · APS (if applicable) · language certificate · transcripts with translations · CV · motivation letter · biometric photos (35×45mm). videx.diplo.de

Print TWO full sets of everything

German counters routinely refuse phone screens. Two printed sets is the safe standard — from someone who sat behind that counter.

Attend, pay €75, keep the receipt

The receipt carries your file reference — you'll need it for any status inquiry.

Do NOT book non-refundable flights

Not until the visa is in your passport. Rebooking costs are the most common avoidable loss of the whole journey.

First 14 days in Berlin // ARRIVAL

Anmeldung — register your address within 14 days

Any Bürgeramt in the city works. You need your passport + the landlord's signed Wohnungsgeberbestätigung (a rental contract alone is not enough). Slots are scarce — check service.berlin.de right at 8:00 for released cancellations.

Open a regular bank account

Unlocks your €992/month from the blocked account.

Enrol at your university

You do NOT need the residence permit to start studying — enrolment works with visa + passport. Check your student portal for the Deutschlandsemesterticket: your semester fee usually includes near-nationwide transport, most students don't realize.

Apply for the residence permit BEFORE your visa expires

Berlin is online-only: the official application, at the earliest 4 months before expiry. Fee paid online (€100 as electronic card / €56 sticker; reduced for Turkish nationals; refunded for public-scholarship holders). You cannot book an appointment yourself — they invite you. Anyone selling "LEA appointments" is a scam.

The safety nets nobody tells you // BREATHE

Visa expiring while you wait? You're not illegal.

Filing before expiry auto-extends your stay (§81 Abs. 5 AufenthG) — and in Berlin, the confirmation PDF from the online application itself certifies your visa remains valid. Save it, print it.

Stuck file? Your university can push.

The International Office has direct lines into the immigration office and can nudge from the inside. One polite email to them beats ten to the LEA.

Write to offices in German — DeepL is fine.

Replies come faster and friendlier. Attach everything the first time: complete files get processed first.

This told you what to do. The Blueprint shows you how.

Every German form decoded field by field, a tracker that tells you exactly when to chase your file — with the letter already written — and insider knowledge straight from the foreigners-office desk. Berlin opens first, more cities right behind — the waitlist decides which city is next.
